This policy explains how GT Services handles personal information across our website, web app and mobile app. We keep it short, clear and honest.

Who we are

GT Services is an event staffing company based in Belgium that connects organisers with carefully selected and guided student crews. We are the data controller for the personal information processed through the GT Services platform.

Full registered company name and address are managed by GT Services and can be confirmed on request. (To be confirmed by GT Services / legal.)

What this policy covers

This policy applies to the public website (gt-services.app), the logged-in web app and the GT Services iOS app. It covers organisers (companies and event organisers), students who join our crews, and visitors to our public pages.

Information we collect

Depending on how you use the platform, we may process:

  • Account details: name, email address, phone number and your role (organiser or student).
  • Student profile information used to build your crew profile, such as availability, experience, preferences and a profile photo you upload yourself.
  • Organiser and event information, such as company contact details and the event requests you create.
  • Operational data needed to plan crews, confirm assignments and follow up afterwards.
  • Technical data needed to keep you securely signed in, such as session information.

How we use information

We use personal information to:

  • Operate the platform and your account.
  • Match organisers with a fitting crew and confirm assignments.
  • Send service-related emails about requests, assignments and your account.
  • Process and follow up the hours students work so they can be paid reliably.
  • Keep the platform secure and meet our legal and administrative obligations.

How information is shared

We share only what is needed to deliver the service, and we build in privacy safeguards by design:

  • Organisers never see a student's email address or phone number.
  • Students do not see private company or organiser contact details.
  • Internal admin-only notes stay internal to GT Services.
  • We rely on trusted infrastructure providers to host the platform, store data and deliver email. The specific sub-processors and where data is stored can be confirmed on request. (To be confirmed by GT Services / legal.)

Cookies and similar technologies

The logged-in app uses strictly necessary cookies and local storage to keep you signed in and to operate the service. A full overview of any cookies or analytics in use will be confirmed by GT Services. (To be confirmed by GT Services / legal.)

Push notifications

Push notifications are not yet available in the GT Services app. If we introduce them in the future, they will be opt-in and described here before being enabled.

Data retention

We keep personal information for as long as needed to provide the service and to meet our legal, administrative and payroll obligations. Specific retention periods will be confirmed by GT Services. (To be confirmed by GT Services / legal.)

Your rights

Under the GDPR you have the right to access, correct, delete or export your personal data, and to object to or restrict certain processing. You can exercise these rights, including requesting deletion of your data or closing your account, by contacting us using the details below.

Self-service account deletion inside the app is being prepared. Until it is available, please send account or data requests to our support contact and we will handle them.

You also have the right to lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit).

We may update this policy as the platform evolves. When we do, we will update the date at the top of this page.
